Do You Need a POS Terminal or Just a Phone Register?

Agent POS machines and merchant phone registers solve different problems. Learn which you need for cash, transfers, and day-to-day shop ops.

In many markets, “POS” means the plastic terminal an agent uses to withdraw cash or take card payments. Merchants hear “get a POS” and assume they need to lease a machine, meet volume targets, or pay rent on hardware they barely understand.

Often they need something else: a merchant register — a place to ring sales, track cash vs transfers, manage catalog and orders, and know today’s total. That can live on the phone you already own.

Two different jobs

Agent / acquiring terminal

  • Accepts payments on a bank or fintech network.
  • Often tied to agent banking, withdrawal, or card acquiring.
  • Hardware cost, leasing, or activity requirements are common.
  • Solves: “How does money move from customer to a rail?”

Merchant phone register

  • Records what you sold and how the customer paid.
  • Tracks day sales, change due, catalog, orders, and history.
  • Works with cash and the payment apps you already use.
  • Solves: “What did my shop make, and can I run ops from one place?”

When you likely need a phone register

  • Most sales are cash, transfer, or MoMo into accounts you control.
  • You lose track of daily totals and staff sales.
  • You sell from a stall, booth, or pocket — not a fixed counter with power and a dock.
  • You want catalog, orders, and creator/live ops later — not only a swipe.
  • You cannot justify terminal rent or deposit right now.

When a hardware terminal still makes sense

  • Customers expect card tap/insert at your counter and you have acquiring set up.
  • You are an agent earning from withdrawals and deposits.
  • A partner or mall requires a specific certified device.
  • You need offline card capture that your phone setup cannot provide.

Many shops use both: phone register for the books and ops, plus a terminal or personal payment apps for how money arrives. That is normal.

  1. List how customers pay today (cash %, transfer %, card %, other).
  2. Write down what you cannot answer by 8pm (today’s total? cash vs transfer?).
  3. If the gap is records and ops → start with a phone register.
  4. If the gap is card acceptance on a network → evaluate a terminal or acquiring partner.
  5. Revisit in 90 days — many merchants add rails later once sales are visible.
