Closing time should answer one question: what did this shop make today? If the answer takes half an hour of scrolling alerts, counting crumpled notes, and arguing with a notebook, you will skip it on the nights you are tired — which is when leakage hides.
A five-minute ritual beats a perfect accounting system you never finish. Here is a practical close for cash-heavy shops that also take transfers, MoMo, or bank payments into merchant or personal accounts.
Before you start: one ledger for the day
Your closing ritual only works if sales were logged during the day. If you still rely on memory, start with the companion guide, then come back. Closing is reconciliation — not archaeology.

Minute 1–2: Count the till
- Separate float (opening cash you want to keep) from today’s cash sales.
- Count notes and coins once. Write the cash total.
- If you use a phone cash pad with denominations, your app may already reflect what you tapped in — still do a physical count for the drawer.
Minute 3: Direct payments (transfers, MoMo, bank)
“Direct” here means non-cash payments you track as merchant-received — not necessarily a card-terminal swipe. Pull today’s alerts or statements for the accounts you use at the counter. Sum confirmed payments only. Ignore pending or disputed ones until tomorrow.
Minute 4: Compare to the register
Open your day sales view. You want three numbers:
- Total sales today
- Cash portion
- Direct (non-cash) portion

Match physical cash to cash sales (plus float). Match alert totals to direct sales. A small variance is normal (change mistakes, tips, a sale logged under the wrong method). A large gap means a missed ring or a payment that never arrived.
Minute 5: One line in your close note
Write or voice-note a single line:
Swap currency for your market (GH₵, KSh, FCFA, £). The format matters more than the tool. Over a month, these lines become bankable-looking records without hiring an accountant on day one.
Weekly add-on (Sunday, 10 minutes)
- Sum the seven daily totals.
- Compare to your wallet or bank balance movement (roughly).
- List unpaid supplier credit and staff advances separately — do not mix them into “sales.”
- Note any fake transfer screenshots or reversed payments from social/live selling.
